Office 365 for Faculty and Staff of Class 2019

Soon all SoM faculty, staff, and students will be on the same cloud content system!

We started Academic Year 2015/2016 with only students having Office 365 licenses. Not an ideal situation but it allowed us to produce lab and weekly lecture notebooks for students using OneNote; a collaborative Office 365 app. For the Class of 2019, it also allowed us to host learning materials in a SharePoint library which is a huge improvement in knowledge sharing. Students can search across the entire knowledge-base for specific content that is listed with introductions and live previews. Students can also create their own customized views of the libraries as well as sort and filter content.

Because webdrive or drive mapping is not required (and some operating system cannot map to what is known as the o-drive), students can access the content in Office 365 and SharePoint with any personal device, using any operating system, and from any location where there is web access.

During 2015 we were limited to how much of Office 365 we could use since only students and a few faculty/staff had licenses. The good news is that we have passed the last hurdle on the Microsoft Enterprise Agreement so that we can provide Office 365 licenses to SoM faculty and staff in early 2016. It opens the door to other cloud benefits not available up to this point.

For example, we will be able to migrate the SharePoint library where class materials are hosted to the cloud as part of SharePoint Online which will give us greater storage capacity and the ability to create team sites. We will be able to take advantage of the secure video channel app for medical presentations that are not intended to be public.  We will be able to use Yammer more extensively for social communications and learning. Greater collaboration using other document types will be possible.

We are anticipating having licenses for faculty and staff during the first quarter of 2016 which will trigger some minor changes in the beginning that you will probably not notice.  For example we will no longer archive podcasts and other media content on the o-drive for the Class of 2019 and all new classes going forward. Currently faculty use the o-drive for viewing podcasts and other course content while students use JayDocs and the SharePoint documents library. Once we all have access to Office 365, we can consolidate podcast and content archives to save on critical storage space and better manage all the medical education content.

2016 promises to be an exciting year as we more fully integrate Office 365 into the curriculum. Stay tuned for updates throughout the year.
